Momentum Swimming (Momentum Swimming, us, we, our)
This privacy statement sets out how we use and look after the personal information we collect from you. We are the data controller, responsible for the processing of any personal data you give us. We take reasonable care to keep your information secure and to prevent any unauthorised access to or use of it.
We may update this privacy statement from time to time and will inform you of any changes in how we handle your personal data.
What Personal Data do we collect?
Personal data means any information about an individual from which that individual can be identified. We collect, use, store and transfer some personal data of our members and, where relevant their parents or guardians. You provide information about yourself when you register with us, and by filling in forms including online, or by corresponding with us by phone, e-mail or otherwise.
We may collect the following information:
Name, date of birth, home address, telephone number, e-mail address, gender, and the contact details of a third party in the case of emergency. We may also ask for relevant health information that may affect safety and performance in swimming, which is classed as special category personal data, for the purposes of your health, wellbeing, welfare and safeguarding. Where we hold this data it will be with the explicit consent of the member or,
if applicable, the member’s parent or guardian.
Why we need your personal data?
We will only use personal data for any purpose for which it has been specifically provided. The reason we need members’ personal data is to be able to run the swim school; to administer memberships, and provide the membership services you are signing up to when you register with us. Our lawful basis for processing your personal data is that we have a contractual obligation to you as a member to provide the services you are registering for.
Who do we share your personal data with?
We may share your personal data with selected third parties, such as teachers or coaches. Third-party service providers will only process your personal data for specified purposes and in accordance with our instructions.
We may disclose your personal information to third parties to comply with a legal obligation; or to protect the rights, property, or safety of our members, associates or others. Our data processing may require your personal data to be transferred outside of the UK. Where we do transfer your personal data overseas it is with the sufficient appropriate safeguards in place to ensure the security of that personal data.
Protection of your personal data
We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed.
We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so. We may use your personal information to send you communications which we think you may find interesting if you tell us that you wish this to happen.
How long we hold your personal data?
We keep personal data on our members while they continue to be a member or are otherwise actively involved with us. We will delete this data 7 years after a member has left or otherwise ended their membership as a requirement of HMRC, or sooner if specifically requested and we are able to do so. We may need to retain some personal data for longer for legal or regulatory purposes. We will remove the following data annually if the member has left.

Protecting your personal information
We will not sell, distribute or lease your personal information to third parties unless we have your permission or are required by law to do so. We may use your personal information to send you information which we think you may find interesting if you tell us that you wish this to happen.
Your Rights
You have the right to ask for details of the information we hold about you at any time. This is called a Subject Access Request (SAR). In accordance with GDPR, once you have made a Subject Access Request we are obliged to provide you with your information within 20 business days of verifying your identity. Such requests should be emailed to momentumswimming@gmail.com - we will call you to verify your request before providing any data to you. We will not charge a fee for providing this information to you. Under GDPR you will also have the right to:
• Withdraw your consent
• Ask us to erase your information
• Ask us to restrict how we process your information
